A few important aspects to be aware when it comes to the 2-way sync between your Coaches Console and your Google calendar (account):
Visibility of the Console calendar in Google:
You will be able to see in Google your Coaches Console appointments and available times (separately in 'The Coaches Console', respectively 'The Coaches Console Available Times' calendars created automatically via the sync in Google under the list 'My Calendars' on the left side).
Visibility of the Google calendars in the Console:
- You will be able to see in the Console calendar the Google calendars that you own, namely those under the 'My Calendars' list, with the exception of some special calendars (Birthdays, Tasks) that Google does not share with 3rd parties.
- You will not be able to see in the Coaches Console the calendars you subscribe to in Google, located under the list 'Other Calendars', because those calendars generally have other owners, so Google cannot share them with 3rd parties without their consent. Two workarounds for these scenarios:
-
- If you need to see in the Console some of those subscribed calendar events, then one way is that you also schedule them in one of your owned Google calendars that the Console can see (under 'My Calendars' list in Google).
- Another way, if the owner has a Google calendar/account themselves, would be to ask the calendar owner to share their Google calendar with you granting full rights (make changes and manage sharing) in their calendar settings and sharing permissions. That will place their calendar under your 'My Calendars' list and the Console will be able to see it just like the calendars that you own.
How to avoid double booking between the Console and Google calendars:
If you want the Coaches Console to see your Google events as busy and thus avoid double booking between your Console appointments and Google events, then 2 conditions have to be met:
-
- You need to mark the Google calendars as busy in the Console system > Calendar menu > Calendar Settings > section 'Your Calendars' > check the box in front of them and save.
- The events you schedule in Google need to be setup as busy, not free.
When both of these conditions are met, the Coaches Console will not allow the scheduling of appointments that overlap (even partially) with your Google events, and it will also cancel available times (calendar scheduling options for your clients) that overlap with your busy Google events.
